MAGENTO INTEGRATION

Magento QuickBooks Integration: Connectors, Cost and Timeline

QuickBooks Online and QuickBooks Desktop need two different integrations. Online talks REST and OAuth 2.0. Desktop talks qbXML through the Web Connector. Find out which one you run before anyone quotes you a price.

WHAT SYNCS

What moves between QuickBooks (Online and Desktop) and Magento.

DATADIRECTIONNOTES
OrdersOut of MagentoOrders go in as sales receipts or invoices. ECOSIRE describes sales orders, invoices and credit memos syncing into QuickBooks Online.
InventoryBoth waysSKUs map to QuickBooks items, with optional stock write-back (ECOSIRE). Pick one system to own the stock count before you build.
Products and pricesOut of MagentoMagento SKUs map to QuickBooks items.
CustomersOut of MagentoCustomer records, with guest checkouts matched by email (ECOSIRE).
Invoices and paymentsOut of MagentoInvoices, credit memos and payment methods map to QuickBooks accounts and tax codes.

THE API

The QuickBooks (Online and Desktop) API.

ASPECTDETAIL
API typeQuickBooks Online: REST API plus a batch endpoint. QuickBooks Desktop: the QuickBooks Web Connector passes qbXML to a web service that you host and that implements the methods in the Web Connector WSDL.
AuthenticationQuickBooks Online: OAuth 2.0. QuickBooks Desktop: a .qwc file registers the web service with the Web Connector, which starts every conversation itself, so no firewall ports need opening.
Rate limitsQuickBooks Online REST: 500 requests per minute per realm ID, and 10 requests per second, per realm ID and app. Batch endpoint: 40 requests per minute per realm ID and app, with 30 payloads per batch recommended. Batch requests that run longer than 120 seconds time out. A throttled request returns HTTP 429; wait 60 seconds.

NAMETYPENOTESLINK
Meetanshi QuickBooks Online IntegrationExtensionMeetanshi's product page lists versions 2.3.0-2.4.9 (CE, EE) and immediate or scheduled exports, with cron runs set daily, weekly or monthly. It syncs customers, orders, products, invoices and credit memos to QuickBooks Online. The page names no QuickBooks plans and shows no price.Vendor page (opens in a new tab)
Webkul QuickBooks Desktop ConnectorExtension$299.00 USD on the Webkul store page. Syncs from Magento to QuickBooks Desktop: orders as sales receipts, plus invoices, and the customers and products that appear in orders. The Web Connector scheduler interval is set in minutes. Listed editions: Pro Plus 2021, Premier Plus 2021, Enterprise 21.0 and 22.0. Changelog v4.0.4 targets version 2.4.8.Vendor page (opens in a new tab)
ECOSIRE QuickBooks Online connectorExtensionBuild-to-order module, from $999.00 USD on its page. ECOSIRE describes an OAuth 2.0 connection to the QuickBooks Online REST API v3. Sync is scheduled through Magento cron, with a manual sync from the dashboard. It runs on Magento Open Source and Adobe Commerce; no QuickBooks plans are named.Vendor page (opens in a new tab)

COST AND TIMELINE

Cost and timeline.

LEVELSCOPETYPICAL RANGETIMELINE
Level 1 (this integration)Connector set up and configured$3,000-8,0002-4 weeks
Level 2Custom API integration (orders, inventory, customers)$10,000-25,0004-8 weeks
Level 3Complex ERP sync (B2B pricing, multiple warehouses, middleware)$25,000-75,000+8-16 weeks

Typical range, quoted after a scoping call.

QuickBooks is an accounting package, not an operational ERP. Most integrations push orders, invoices and customers one way, which is level 1. It moves to level 2 when you add stock sync, multiple locations or tricky sales tax, or when Desktop forces a hosted web service and Web Connector. Connector licenses are the small part of the bill. Vendor pages show $299 for Webkul's Desktop connector and from $999 for ECOSIRE's built-to-order Online module.

WHERE THESE PROJECTS GO WRONG

Where these projects go wrong.

  • Online versus Desktop. They use different methods (REST and OAuth versus Web Connector and qbXML), so a connector built for one does not cover the other.
  • Sales tax. Magento tax classes have to map to QuickBooks tax codes, or order totals will not reconcile with the books.
  • Item mapping. Magento SKUs, variants and bundles have to land on QuickBooks items and categories.
  • Throttling on backfills. At 500 requests per minute per realm ID, importing years of orders one call at a time stalls. Use the batch endpoint.
  • Fees and refunds. Gateway fees, refunds and payouts need their own QuickBooks accounts before the first sync runs.
  • Duplicate customers. Guest checkouts and repeat buyers need matching rules, or the customer list fills with copies.

QUESTIONS MERCHANTS ASK

QuickBooks (Online and Desktop) integration FAQ.

Does the integration work with QuickBooks Desktop?+
QuickBooks Desktop does not use the REST API. It connects through the Web Connector, which passes qbXML to a web service you host. Intuit says that service must implement methods defined in the Web Connector WSDL. A connector built for QuickBooks Online will not cover it. ECOSIRE describes an OAuth 2.0 connection to the QuickBooks Online REST API v3, and Webkul sells a separate Desktop connector.
What are the QuickBooks Online API limits?+
Intuit documents 500 requests per minute per realm ID and 10 requests per second, per realm ID and app. A throttled call returns HTTP 429 and you wait 60 seconds before retrying. The batch endpoint is the route for large backfills.
Should Magento or QuickBooks own inventory?+
Pick one before you build. ECOSIRE describes optional stock sync between Magento SKUs and QuickBooks items, but a sync that lets both systems write counts will drift. If you only send sales, Magento keeps the count and QuickBooks records what sold.
Is there a ready-made connector?+
Meetanshi sells a QuickBooks Online Integration for Magento versions 2.3.0 through 2.4.9 (CE, EE). ECOSIRE builds an Online module to order, and Webkul sells a Desktop connector. Ask each vendor which QuickBooks Online plans it supports, because none of the pages we read name them.
How often does it sync, and which versions are supported?+
It depends on the connector. Meetanshi lists immediate and scheduled exports, with cron runs set daily, weekly or monthly. ECOSIRE syncs on a Magento cron schedule and offers a manual sync. Webkul's Desktop connector lets the admin set the Web Connector scheduler interval in minutes, and queued orders are created when QuickBooks connects. We found no hourly option on the pages we read. Webkul's changelog has v4.0.4 for Magento version 2.4.8 and lists QuickBooks Desktop Pro Plus 2021, Premier Plus 2021 and Enterprise 21.0 and 22.0. Intuit says Web Connector 2.2.0.34 and newer supports U.S. Enterprise, Premier and Pro editions from 2015 or later. No vendor page we read names QuickBooks Online plans.
Can Zapier handle it?+
Zapier's Magento app has triggers for new customers, new orders and new credit memos, plus actions that create a customer, an order comment or an invoice. We did not verify a QuickBooks step. Test whether taxes, refunds and gateway fees arrive the way your bookkeeper needs them before relying on it.
